Estimating software vs spreadsheets: what actually changes

Almost every contractor starts estimating in a spreadsheet, and for good reason: it is free, it is flexible, and it does the math. The trouble is not the spreadsheet itself, it is everything that happens around it, the speed you can quote, the way the price is presented, and what happens to that number after the customer says yes.

What estimating software actually changes

  • Speed. Pricing pulls from a saved catalog, so you quote on site instead of promising to email it later.
  • Consistency. Everyone quotes from the same numbers, so margins do not depend on who built the spreadsheet.
  • Presentation. The customer sees a clean, branded proposal with options, not a raw grid of cells.
  • Continuity. The approved estimate flows into the schedule and the invoice instead of being retyped.
  • No broken formulas. Nobody overwrites a cell and quietly ships a quote that loses money.

Speed is the part that wins jobs

The single biggest difference is how fast the customer gets a real number. When you say you will send an estimate later, you hand the homeowner time to call two more contractors and cool off. When you build it on the spot and hand them clean options before you leave, you are the one they remember. That speed is hard to fake in a spreadsheet you are tabbing through on a phone.

The quiet spreadsheet tax

A broken formula or an outdated price in a spreadsheet does not announce itself. It just shows up as a job that came in under margin. Software that pulls from one maintained price list removes that whole category of mistake.

When a spreadsheet is still fine

If you quote a handful of simple, similar jobs a month and you are the only person estimating, a well-built spreadsheet can carry you for a while. The moment you are quoting on site, training someone else to estimate, or losing jobs to slow turnaround, the spreadsheet is the bottleneck. See how RevCore handles it on the estimates page, or how it maps to your work on the solutions pages.
