Per-seat vs flat pricing: what contractor software really costs as you grow

Two contractor tools can look identically priced and cost you completely different amounts a year later. The difference is usually one word in the pricing page: whether you pay per seat or a flat rate per plan. It sounds like a detail. It is one of the biggest factors in what you will actually spend.
How per-seat pricing works against you
Per-seat pricing charges you a monthly rate for every person with a login. With an owner and two crew members it looks cheap, which is exactly why it demos so well. But your headcount is not fixed. Add an office manager, a second crew, a few seasonal hires, and your software bill climbs every single time, whether or not those people drive more revenue. You end up rationing logins, sharing accounts, or paying a tax on your own growth.
Per-user pricing means the vendor's revenue grows automatically as you hire. Flat pricing means you keep the upside of growing. Read the model, not just the rate.
How flat pricing changes the math
Flat per-plan pricing covers a set number of seats for one price, and you only pay more when you genuinely outgrow a tier. Hiring does not raise the bill in lockstep, so you can put everyone who needs access on the tool without doing cost arithmetic for each new face. The headline price is sometimes higher than a per-seat starting rate, which is why it can look more expensive at first glance and end up far cheaper in practice.
How to compare them honestly
- 1Count everyone who will realistically need a login in a year, not just today.
- 2Price the per-seat tool at that headcount, not the demo headcount.
- 3Price the flat tool at the tier that covers that team.
- 4Add any setup fee and required add-ons to both.
- 5Compare the all-in monthly numbers, not the starting rates.
RevCore is deliberately flat: each plan includes a set number of crew seats, and extra seats are a flat 49 dollars a month rather than a climbing per-user rate. You can see exactly where the tiers land on the pricing page, and compare the model against other tools in the comparisons.
