Setting up automated follow-up reminders

Most lost deals are not lost on price, they are lost to silence. Automated follow-ups make sure every lead gets a timely touch, even when your team is slammed in the field.

Create a follow-up rule

  1. 1Go to Settings, Automations, Follow-ups.
  2. 2Click New rule and choose a trigger, such as Estimate sent and no response in 2 days.
  3. 3Pick the action, like create a task for the owner or send the customer a templated message.
  4. 4Set how many times to repeat and when to stop, for example after a reply or after three attempts.

Mix tasks and messages

The best cadence blends a personal touch with light automation, so the customer hears from a real person without your team tracking it all by hand.

  • Use a task when you want a rep to call personally.
  • Use an automated text or email for gentle check-ins between calls.
  • Stagger steps over several days so you stay present without being pushy.

Follow-up rules respect quiet hours from your company profile, so automated messages never go out at 6am on a Sunday.

Track what is working

Each rule shows how many deals it touched and how many replied or advanced a stage. Lean into the cadences that move deals, and retire the ones that do not.

Combine follow-up automation with a clean pipeline so every reminder fires from an accurate stage and reaches the right lead at the right time.
