Connecting QuickBooks Online for two-way sync
Last updated June 2026
The QuickBooks Online integration keeps your accounting in step with the work, without double entry. Once connected, customers, invoices, and payments flow both ways, so what your crew bills in the field is what your bookkeeper sees.
Connect your account
- 1Go to Settings, Integrations, QuickBooks Online.
- 2Click Connect and sign in to QuickBooks with an admin login.
- 3Approve the permission request so RevCore Pro can read and write the right records.
- 4Choose the QuickBooks company file if you manage more than one.
Map your settings
Mapping tells the sync where each record should land in your chart of accounts. Spend a few minutes here and the rest runs on autopilot.
- Match your income accounts to RevCore Pro item categories.
- Pick the payment account that received deposits go into.
- Choose whether new customers sync automatically or on first invoice.
- Set your tax handling so rates match what QuickBooks expects.
Two-way sync means edits made in either system update the other. To avoid surprises, agree on one place to edit customer details, then let the sync mirror it.
How the sync runs
After setup, the sync runs automatically in the background. When you send an invoice in RevCore Pro, it appears in QuickBooks. When a payment is collected, it posts against the matching invoice and reconciles cleanly.
Check sync health
The integration page shows the last sync time and flags any record that needs attention, usually a missing account mapping or a duplicate customer. Resolve the item and the sync retries on its own.
